THE OPPORTUNITY

We are looking for an organized and detail-oriented 

Administrative Assistant to join our team. This person needs to be a team player and able to juggle multiple tasks simultaneously. This person needs to have a meticulous eye for detail and the ability to handle change with little advance notice.

RESPONSIBILITIES

Supporting our equity brokerage company and ensuring that the all the deals run smoothly and efficiently, including:

• Logging and setting up all new and incoming deals.
• Support senior management and brokerage team with all administrative needs.
• Scheduling and leading all kickoff and due diligence meetings.
• Collecting, saving and distributing all deal due diligence information.
• Managing transaction calendars for all parties.
• Communicating with clients / investors, legal counsel, and all related parties.
• Submitting invoices to be paid at closing.
• Scheduling and overseeing closings with title companies.
• Verifying accuracy of closing statements, wire instructions, and wire amounts, as well as reviewing loan and title closing documents.
• Coordinating of all acquisitions, dispositions, equity financings, loan closings, and refinances.
• Coordinating the transfer of documents to appropriate parties.
• Gathering requested items from clients for transactions, including insurance & entity documents, and third-party contracts, and so on.
• Assuming ultimate accountability for closings by collaborating with internal teams, external teams, title companies, and counsel.
• Maintain pipeline files.
• Maintain investor database.
• Create and maintain the transaction announcement and marketing items.
• All other duties as assigned.

REQUIREMENTS

• 3 to 5 years of admin experience at a real estate investment firm, bank, brokerage company, or other similar organization.
• Real estate experience in acquisitions and dispositions is highly preferred.

SALARY

• Six figure potential commensurate with experience.
