Marin is a fast-growing skincare brand in Portland, ME seeking a motivated, proactive, detail-oriented Executive Assistant to join our high-performing, purpose-driven team. We’re a four-year-old startup that creates Glycoprotein-powered skincare products for people with dry, damaged, eczema-prone skin, using a regenerative protein found in lobster as the key ingredient. Building upon explosive YoY growth, we’re excited to welcome a multi-faceted EA to work directly with our CEO, jumping in (with a growth mindset) to create capacity, realize opportunities, streamline the ever-evolving, solve problems and accelerate momentum across all areas of the business.

About the Role

We are seeking a highly motivated, proactive, detail-oriented Executive Assistant to support across every area of the business. This is not a traditional EA role — you’ll be the right hand to the CEO, helping to manage a rapidly-growing business and significant workload, driving critical projects forward, and keeping strategic initiatives on track while being “in” the business tackling day-to-day activities across every area. Your scope will range from business operations to personal coordination; Everything from marketing, finance, day-to-day administration, operations and product development, to helping manage the CEO’s calendar, personal activities, aligning priorities and focus to ensure the overarching goals of the business are met.

This is a unique opportunity to play a behind-the-scenes but mission-critical role in a fast-growing startup, being equally as much about managing and organizing, as much as it is doing - taking on projects that would otherwise be on the plate of our CEO. As our first Executive Assistant hire, you will bring a high degree of ownership and autonomy to the table — you’re not afraid to jump (with a growth mindset) into scrappy execution, streamline chaos into clarity, create and take advantage of opportunities, and solve problems before they become problems.

Key Responsibilities

  • Serve as an assistant to the CEO across all areas of the business (including marketing, finance, admin, operations and product) - maintain a deep understanding of key goals, activities and timelines, help the Leadership team remain focused on key activities, and ensure they’re met. 
  • Assist in administration operations, financial tracking and recurring activities (e.g., tracking KPIs vs actuals, month-end processes, bookkeeping, invoicing and filings, etc. 
  • Assist in coordinating marketing and content activities, including campaign execution, product launch timelines, project tracking, and executing miscellaneous marketing tasks.
  • Prepare presentation materials, agendas, reports, and other executive-level documentation.
  • Triage and respond to external communications when necessary (suppliers, partners, collaborators).
  • Coordinate and streamline personal responsibilities (e.g. personal appointments, travel, errands, logistics) to protect the CEO’s time, attention, and focus.
  • Ensure the CEO remains focused on company-wide goals and that key milestones are being tracked, met, and communicated across the org.
  • Help manage the CEO’s time, calendar, personal activities, goals, monitor high level strategic priorities and to-do list.

Qualifications

  • 3-5+ years of experience in an executive assistant, project or operations management, or similar high-responsibility support role.
  • Deeply trustworthy, responsible, and have a high degree of discretion in handling confidential information.
  • World class project management and organization skills with the ability to manage multiple priorities simultaneously, and thoughtfully bring stakeholders together to bring projects and initiatives to the finish line.
  • Strong familiarity with Marketing, Finance and Operations.
  • Excellent written and verbal communication skills.
  • Experience working at high-growth startups or small, scrappy teams, ideally DTC, CPG or Beauty.
  • Familiarity with marketing, finance and PM platforms (e.g., Canva, Meta Ads Manager, TikTok, Shopify, Klaviyo, Monday.com, QuickBooks).
  • A scrappy, resourceful, “everything is figure-outable” attitude – able to operate independently while collaborating effectively with a small but mighty team.
  • A positive, growth mindset – obsessed with testing, learning, and improving every day.
