Job Description

A dynamic firm is seeking a Billing Coordinator to join its accounting team. This role supports project managers and accounting operations to ensure accurate and timely billing processes, including AIA billing .

Key Responsibilities:

• Serve as the primary contact for project accounting inquiries, providing training on accounting software.
• Facilitate meetings with project managers to ensure accounting tasks are completed.
• Review client and consultant contracts to maintain project budgets and billing terms.
• Prepare and process AIA billing , ensuring compliance with contract requirements.
• Assist with AR follow-ups and resolve discrepancies.
• Set up new projects and validate accuracy in accordance with company policy.
• Prepare and finalize invoice packages, ensuring compliance with contracts.
• Support consultant accounts payable processes and validate invoices.
• Reconcile client payments and generate financial reports as needed.
• Assist with month-end, year-end, and audit processes.
• Identify process improvement opportunities to enhance billing efficiency.

Qualifications:

• 3+ years of billing or related experience (AEC industry preferred).
• Experience with AIA billing required.
• Strong attention to detail and analytical skills.
• Excellent communication and organizational abilities.
• Proficiency in MS Office, particularly Excel and Outlook.
• Experience with Deltek Vision and/or Vantagepoint preferred.
