We are looking for a highly organized, detail-oriented, and self-motivated individual to join our team as an Office Administrator/Accounts Receivable Analyst. In this pivotal role, you will be the primary point of contact for all customer inquiries, handle scheduling and coordination, as well as manage accounts receivable and accounts payable processes. This is an independent position, and you will be responsible for executing these duties with minimal supervision.

Key Responsibilities:

  • Customer Inquiries & Scheduling:
  • Respond to customer inquiries via phone and email in a timely, professional manner.
  • Use scheduling software to arrange appointments and coordinate with technicians to meet customer needs.
  • Provide updates and follow-up to customers regarding their inquiries and scheduled services.
  • Accounts Receivable/Accounts Payable:
  • Create and send accurate invoices for services provided through client invoicing portals.
  • Follow up with clients to ensure timely payment, addressing any discrepancies or questions as needed.
  • Track and manage accounts payable, ensuring all vendor invoices are processed accurately and on time.
  • Payroll Duties (if applicable):
  • Assist with basic payroll functions as needed, including data entry and coordination with payroll providers.
  • General Office Administration:
  • Maintain organized records of invoices, payments, and customer communications.
  • Perform other administrative tasks to ensure smooth office operations.

Requirements:

  • Proven experience in accounts payable and accounts receivable, ideally in a similar office or administrative role.
  • Experience with QuickBooks Online required.
  • Strong communication skills with the ability to manage customer inquiries via phone and email.
  • Ability to use scheduling software to efficiently coordinate technician appointments.
  • Strong attention to detail and the ability to work independently.
  • Ability to manage multiple tasks with competing deadlines.
  • Previous payroll experience is a plus.
  • Must be a self-starter who can thrive in a sole-office role with minimal supervision.
