Major duties include operating multi-line switchboard, greeting clients and guests entering establishment, handling walk-in payments, providing administrative, research and marketing support for the brokerage commercial agents and other general clerical duties assigned with the ability to work under minimum supervision. Working under the supervision of the Broker and Sr. Vice President of Commercial Sales & Leasing and the Marketing & Transactions Manager.
Primary Responsibilities/Skills/Abilities:
· Front Desk Receptionist – Open office each morning, 8:30-5:30. Greet guests and answer phone calls in a friendly and professional manner, determining nature and purpose of visit and directing them to specific destinations. Handling walk-in/mailed payments in accordance with company policies and procedures. Maintain clean and professional reception area. Help with stocking supplies.
· Sales and Marketing Support - Consult with agents daily to identify their marketing needs and help them execute tactics to deliver on those needs successfully and efficiently. Create custom marketing materials, including brochures, postcards, electronic campaigns and related items ensuring marketing content complies with brand standards. Entering exclusive listings into LoopNet, Commercial Council, Atlanta Commercial Board, SIOR, etc. Updating and keeping listing information current. Excellent follow up skills (is proactive). Use photoshop and other applications to create custom maps and reports. Ability to successfully manage multiple projects simultaneously which include multi-tasking, prioritizing, and meeting deadlines. Utilize various research platforms and database websites. Able to handle sensitive information and documents with confidentiality.
Requirements/Qualifications:
· High school diploma or equivalent.
· Ability to pass a background/drug screen as it pertains to the position
· 2+ years’ experience in office administration and/or real estate setting
· Demonstrate proficiency in MS Office Suite, Adobe/DocuSign, Canva, LinkedIn and other social media platforms.
· Personable, articulate, and creative with strong time management and communication skills.
· Ability to multi-task and adhere to deadlines.
· Must be able to operate basic office machines, i.e., copier, fax, printer, etc.
